What are the steps to secure use of DVCOG Facilities?
· Any use of church facilities must be scheduled through the church office.
· Applicant is to be given a copy of the Facility Use Application and sign that they have read, understand and agree to abide by the guidelines.
· If the pastor is to be used for weddings, etc., He must be contacted personally. If another minister is to be used, the pastor/councilmen must approve the minister to be used.
· If the Music Director, Pianist, Organist, Sound or Media is to be used for weddings, etc they must be contacted personally.(Only DVCOG Trained Techs)
· If the Kitchen is to be used, the applicant must contact the Kitchen Committee and work with them on usage.
· If Gymnasium/Family Life Center or Sanctuary/Main Building is to be used, the Janitorial services must be contacted for instruction on use.
How do we define church member or church member’s family?
An active member is to be defined as one who attends worship services and supports Dutch Valley Church of God as much as individual circumstances permit or a student or individual on temporary assignment in another area (college, missions, job, etc.) who was active prior to leaving.
What is the requirement to schedule an event?
Deposits
$500.00 must be paid in full before the date can be placed on the church calendar. Cancellations of any event within 14 days will be reviewed by the pastor/councilmen to determine the status of the refund/forfeit of the deposit.
The minimum amount of time between scheduling an event and the date of the event:
The minimum amount of time between scheduling of a non-church member related event and the date of the non-church member related event will be 60 days.
When are the church facilities not available?
The church facilities will not be available:
· When church programs are previously scheduled.
· On Christmas Eve, Christmas Day, New Year’s Eve, New Year’s Day, Thanksgiving Day or Easter Weekend
What are the requirements for insurance?
The user (for non-member related activities) must present a copy of insurance coverage which will cover any injuries which may occur while on church property. If no insurance is available the user must sign a waiver to release Dutch Valley Church of God from any Litigation and/or responsibility of any injuries incurred on said properties. There are 1 day policies available for these events at many agencies.
The Do’s
· A member of the kitchen committee must be present for opening and closing the kitchen and Family Life Center. The kitchen equipment (stoves, refrigerators, warmer, etc.) for non-church events CaN ONLY BE USED UNDER THE SUPERVISION OF A MEMBER OF THE KITCHEN COMMITTEE.
· paper products are for church use only. All others must furnish their own paper products.
· All food items and decorations are to be removed immediately following the event. All wedding related items are to be removed from the church Immediately.
· Non-church members must furnish their own table cloths. Church members will be charged a cleaning fee of $5.00 each for church owned tableCloths.
· Wedding music should be selected with Christian values and worship in mind.
What are the no-no’s?
· NO DANCING.
· NO PETS.
· NO SMOKING IN OR AROUND BUILDINGS.
· NO ALCOHOL.
· NO ILLEGAL DRUGS.
· NO INAPPROPRIATE LANGUAGE.
· NO TAPE, NAILS OR TACKS ON WALLS OR PEWS. Only adhesive putty-poster putty may be used.
· NO RICE TO BE THROWN INSIDE OR OUTSIDE THE BUILDINGS. Birdseed may be thrown but only in outside areas.
· Drip-less candles must be used in all areas.
· Must use appropriate dress that reflects Christian values.
· Church facilities will be available for set-up on the day before the event Only
· Must vacate facilities no later than 11 pm
· No children under age 12 in kitchen
· All drinks/food must be confined to the fellowship areas.
· No food or drinks in sanctuary at any time. (only unflavored bottled water)
· No church furnishings/equipment are to be removed from their original Location except for church related events.(only the old rectangle tables to be used for outside activities.)
· No public Display of affection
For the privilege of using the FLC/Kitchen Facilities, I promise to follow the rules as specified before and hereafter:
1. The kitchen is to be locked whenever it is not in use.
2. People’ reserving the FLC/Kitchen accepts responsibility for cleaning up the kitchen and Family Life Center.
3. Children must be supervised by adults at all times.
4. No games, classes, crafts, etc. may be held in the kitchen area, other than cooking classes.
5. Before leaving, the following must be cleaned :
a. All countertops
b. The stovetops & microwaves
c. All dishes (washed, dried and put back in their correct location).
d. All floor areas (swept & damp mopped).
e. Coffee pots, carafes & pitchers are to be emptied, cleaned and returned to their correct location.
6. Do not leave food, dishes or containers out—anywhere! All food must be removed from the kitchen when you leave.
7. Remove all trash and carry to the dumpster located outside. Replace trash can liners.
8. Place any unused paper products back where they belong.
9. Clean & break down all tables & chairs used and place back in holding area.
10. Place all used towels & dishcloths in the bin provided on sink sideboard.
11. All cabinets are labeled for convenient replacement of items.
12. Cleaning products are provided below prep sink to the right of the kitchen.
13. Prep sink is to be used only for preparation of food items not for washing of dishes.
Make sure all sinks have been rinsed out!
The Kitchen/FLC will be inspected after each use & will follow up with pastor/councilmen.
What are the procedures for assessing damages/losses to the building and/or Kitchen?
1. Damages to the building and equipment will be assessed by the janitorial staff immediately after the event. They will report their findings to the pastor/councilmen. They will notify the user of the cost for repairs and/or replacement of items.
2. Damages/losses to the kitchen will be assessed by the Kitchen Committee. They will report their findings to the pastor/councilman. They will notify the user of the cost for repairs and/or replacement of items.
If any of these afore mentioned items is violated then the contract is considered breached , and I/We will lose all rights to the use of the Dutch Valley church of God properties. I/we agree to the rules and regulations set forth in the previous contract and hereby agree with all that it contains. Pastor has the right to change, or stop any event in which applicant fails to adhere to the rules and stipulations in the contract.

Fees for our church facilities
There will be a non-refundable fee of $50.00 to cover expenses acquired by the church (electricity, water and cleaning supplies) applies to members and non-members
Rental of our church facilities:

Fees will be refunded only after an inspection by our kitchen & janitorial staff show that the facilities used have been left in good and satisfactory condition
Additional fees:
· Sound and/or Media Technician (only DVCOG trained technicians) $50.00
· Musicians (organ, piano, Soloist) $50.00
All fees in addition to the deposit, must be paid at least 30 days before the event.
